Cancellations, Changes and Refunds
This page explains how to change or cancel a WellNear booking and how practice-specific terms may affect charges or refunds.

WellNear is a trading name of SquareCode UK Limited.
How to cancel
If you booked with a WellNear customer account:
- Sign in and open your bookings.
- Open the appointment.
- Choose cancel if the appointment is still upcoming.
WellNear then asks the practice system (CliniForm) to cancel the appointment. You will see a confirmation on that page if the cancellation succeeds, or an error if it cannot be completed.
If you booked as a guest, WellNear shows a confirmation page with a booking reference at the time you book. Guest bookings are not listed in an account until you create one. Use that reference when you contact the practice, or contact WellNear with the reference if you cannot reach the practice.
How to change an appointment
WellNear does not currently offer a separate reschedule button. To change a time you usually need to cancel the existing appointment, if cancellation is available, and book a new one. Contact the practice if you need them to move the appointment in their diary instead.
Practice cancellation policies
- Practices may set their own cancellation windows and fees.
- Any applicable policy should be shown on the listing and again before you confirm. WellNear stores a snapshot of that policy with the booking so it cannot quietly change afterwards.
- Late cancellation or no-show charges may apply only where they were disclosed and are legally enforceable.
- Always review the specific terms for the booking you are making. There is no single WellNear-wide notice period.
Deposits and prepayments
Payment depends on the service the practice publishes:
- Some appointments require no payment on WellNear (pay at the practice).
- Some services have a deposit or prepayment setting in CliniForm. WellNear records a payment status on the booking. It does not store payment-card numbers.
There is no universal WellNear rule that every deposit is refundable or non-refundable. Check the terms shown before you confirm.
Refunds
Whether a refund is due is decided under the practice’s published terms and applicable law. Card payments taken for a practice are handled in CliniForm, not by storing cards on WellNear.
If a refund is due, it is processed by the practice or its payment provider, usually back to the original payment method. WellNear does not publish a guaranteed processing time because that depends on the payment provider and the practice.
If the practice cancels
If the practice cannot honour the appointment, they should tell you and should not charge you for a slot they cancelled. You can look for another time on WellNear or contact the practice to rebook. If you need help after a practice cancellation, contact WellNear with your booking reference.
Late arrival and no-shows
The practice decides whether a late arrival can still go ahead. Contact the practice directly if you are running late. No-show or late-cancellation terms may apply where they were shown before booking.
Problems cancelling
If you cannot cancel from your account, contact WellNear about the booking and include the booking reference. You should also contact the practice, especially close to the appointment time.
Statutory rights
This page does not affect your statutory consumer rights. Dated personal appointments are often treated differently from goods you can return unused, and a simple 14-day cooling-off promise does not automatically apply to every booking.
