These terms apply when you use the WellNear website, create a customer account or make a supported booking.
WellNear is a trading name of SquareCode UK Limited.
These terms are for visitors and customers. Professionals use CliniForm to manage listings, diaries and professional accounts. Professional commercial terms, including any marketplace introduction fee, are not part of this customer document.
About these terms
By using WellNear you agree to these terms. If you make a booking, you also agree to the practice-specific price, duration and cancellation information shown before you confirm.
Please read the Privacy Policy, Cookie Policy and Cancellations, Changes and Refunds page alongside these terms.
About WellNear
WellNear is a trading name of SquareCode UK Limited, a company registered in England and Wales. Company number 17298176. Registered office: 128 City Road, London, EC1V 2NX.
WellNear is a marketplace website. It is not a clinic, salon or treatment provider.
Eligibility and customer accounts
You should only create a customer account if you are old enough to form a contract and able to use the services you book. Customer accounts are created on WellNear. Professional accounts are created in CliniForm, not through the customer registration form.
You can complete a supported booking as a guest. Creating a free customer account lets you view bookings, save favourites and, after an eligible completed WellNear appointment, leave a review.
Keep your login details safe. You can update your name, mobile number, marketing preference and distance unit in your account profile.
The role of WellNear
WellNear provides search, listing pages and, where supported, booking functionality. The practice provides the appointment and the treatment. Suitability, quality, professional duties and aftercare remain with the practice.
Online booking is only available where the practice has a CliniForm Pro connection (or an equivalent live-booking plan) and publishes availability. A WellNear listing is a CliniForm Pro benefit, not part of CliniForm Free.
Practice listings
Listings may include a name, address, services, photos, opening hours, policies and contact details. Connected listings are managed by the practice in CliniForm. WellNear may hide a listing that is incomplete, misleading or unsafe.
Claimed and unclaimed listings
Unclaimed listings are compiled from publicly available business information. They are labelled as unclaimed and cannot take WellNear online bookings until the owner claims them through CliniForm. Claimed status means the practice controls the profile. It is not a guarantee of outcome.
Booking through WellNear
Where online booking is offered, you choose a service, optionally a professional, a time and your details. WellNear holds the chosen time for a short period while you confirm. If you do not confirm in time, the hold is released.
A booking may form a contract between you and the practice. Practice-specific terms, including cancellation and payment notes, should be shown before confirmation and are snapshotted with the booking.
Contract with the practice
Your appointment is with the practice, not with SquareCode UK Limited. The practice is responsible for providing the service at the agreed time, subject to its disclosed terms.
Prices, deposits and payments
Prices are those published by the practice for the selected service. Some appointments are paid at the practice. Where a deposit or prepayment is configured, WellNear records a payment status on the booking. WellNear does not store payment-card numbers. Card payments are taken through the practice’s CliniForm payment tools where the practice uses them.
Appointment confirmation
When a booking is confirmed, WellNear shows a confirmation page with a booking reference and writes the appointment into the practice’s CliniForm calendar. The practice may send its own reminder. Keep the reference if you need support later.
Customer responsibilities
- Give accurate contact details.
- Arrive on time or tell the practice if you will be late.
- Read the listing and the terms shown at checkout.
- Do not use WellNear to send medical details, passwords or full payment-card numbers to WellNear support.
Booking for another person
You may book for someone else where the checkout allows it. You must have their permission to give their name and contact details. You remain responsible for the booking unless the practice agrees otherwise.
Changes and cancellations
Signed-in customers can cancel an upcoming booking from their account. Changes are not offered as a separate flow; you may need to cancel and book again, or ask the practice to move the appointment. Practice cancellation terms may apply. See Cancellations, Changes and Refunds.
Refunds
Refunds follow the practice’s disclosed terms and the law. They are processed by the practice or its payment provider, not by storing cards on WellNear.
Reviews and user content
A public WellNear review may be submitted only when you are signed in with a WellNear customer account, a WellNear booking belongs to you, the booking is for the practice you are reviewing, the booking status is completed, the appointment end time has passed, the booking has not been refunded as fraudulent or invalidated, and you do not already have an active public review for that practice. Signing in with an email address is not enough on its own.
There is one active public review per customer per practice. If you complete another appointment at the same practice, you may update that review based on the later visit. WellNear does not invite only customers believed to be satisfied, and does not offer rewards for positive reviews.
Reviews from that flow are labelled “Verified booking” and, when published, appear on the listing. Written comments are optional. Do not include private medical information, personal contact details, hate speech, threats, harassment, spam, or content that is unlawful or misleading. WellNear moderates for content, not sentiment: a negative or low rating is not a reason to remove a genuine review.
You may edit or remove your public review from your account. WellNear may hide a review after a report or for legal or safety reasons. Hidden or removed reviews stop affecting the public average. We may keep an internal copy for fraud prevention, appeals and legal obligations, as described in the Privacy Policy.
Review integrity for practices
Since April 2025, fake consumer reviews are expressly prohibited in the UK. WellNear takes reasonable and proportionate steps to prevent and remove them. Practices must not:
- Create customer accounts to review themselves
- Ask staff, family or contractors to post WellNear reviews
- Offer rewards only for positive reviews
- Suppress invitations after negative experiences
- Require customers to change or remove criticism
- Selectively invite only happy customers
- Import testimonials, Google ratings or other website comments as WellNear reviews
A claimed practice may post one public response to a review. Responses must not disclose private customer or medical information, threaten or identify the reviewer, or offer compensation in exchange for removal. Practices cannot delete a customer review. Unclaimed practices cannot respond until ownership is verified.
These rules also apply to professional use of WellNear and CliniForm. Report suspected fake or abusive reviews through Safety on WellNear.
Acceptable use
You must not misuse WellNear, including by scraping listings in a way that disrupts the service, posting false information, impersonating a practice, or attempting to access other people’s accounts.
Intellectual property
WellNear’s name, design and software are owned by SquareCode UK Limited or its licensors. Practice names, logos and photos remain the practice’s (or their licensor’s) property. You may not copy the site for a competing directory.
Third-party links and services
Listings may link to a practice website, maps or CliniForm. Those services have their own terms. CliniForm is a related product used by practices to run diaries, forms and payments.
Availability of WellNear
We aim to keep WellNear available, but search, maps, sign-in and booking can be interrupted for maintenance or reasons outside our control. Live appointment times depend on the practice’s CliniForm diary.
Suspension and termination
We may suspend a customer account or restrict a listing where we reasonably believe these terms, the law, or other people’s safety have been put at risk. You can ask us to close a customer account by contacting WellNear.
Liability
Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot legally be excluded.
WellNear is not liable for the treatment itself, for a practice’s failure to provide an appointment, or for advice given by a professional. We are responsible for providing the marketplace functions with reasonable care and skill. If we fail to do so, we will be liable for loss that is a foreseeable result of that failure, subject to the law. We are not liable for loss that the practice causes, or for loss you could have avoided by following these terms.
These terms do not affect your statutory consumer rights.
Events outside reasonable control
We are not responsible for delay or failure caused by events outside reasonable control, including infrastructure outages, strikes or legal restrictions, provided we take reasonable steps to restore the service.
Complaints
Appointment complaints should go to the practice first. Marketplace, listing or account complaints can be sent via the contact form. Safety reports can be made through Safety on WellNear.
Changes to these terms
We may update these terms. The last-updated date appears at the top. Material changes will apply to later use of WellNear and to bookings made after the update. A booking keeps the practice policy snapshot taken when you confirmed it.
Governing law and jurisdiction
These terms are governed by the law of England and Wales. If you are a consumer living in another part of the United Kingdom, you may also rely on mandatory protections of your home nation and you may bring proceedings in the courts of your home jurisdiction where the law allows it.
